Project Description:
The U.S. Food and Drug Administration (FDA) is responsible for protecting and advancing the public health. Within FDA, the Center for Drug Evaluation and Research (CDER), Office of Compounding Quality and Compliance (OCQC) supports the Agency's mission through oversight of drug compounding, federal-state regulatory collaboration, and implementation of the Drug Quality and Security Act (DQSA) and the Compounding Quality Act (CQA), and related mission-support activities.

Job Summary:
DRT is seeking a highly organized Administrative Support Specialist to provide executive administrative and event logistics support to the FDA/CDER Office of Compounding Quality and Compliance (OCQC).

In this role, you will serve as the primary liaison between the FDA travel office and state regulators to manage end-to-end travel, attendee tracking, and on-site logistics for the annual FDA Intergovernmental Meeting on Drug Compounding ("50 States Meeting"). Additionally, you will support OCQC senior leadership through calendar management, briefing preparation, compliance tracking, and general administrative operations using FDA-approved systems.

Responsibilities:
  • Travel Logistics & Coordination: Serve as the primary liaison between the FDA travel office and state regulators, initiating stakeholder identification 120 days in advance and logistics coordination at least 90 days prior to events.
  • Documentation & Attendee Tracking: Track and manage Special Government Employee (SGE) and traveler documentation, maintaining a comprehensive attendee status tracker and delivering bi-weekly progress reports to the Contracting Officer's Representative (COR).
  • Lodging & Block Management: Negotiate and manage hotel room blocks at FDA-designated properties at or below GSA per diem rates; oversee booking windows and escalate outstanding reservations to the COR.
  • Stakeholder Communications: Draft and distribute COR-approved traveler communications, including itineraries, schedule reminders, and key deadline notices.
  • On-Site & Virtual Event Support: Oversee registration desk check-ins, distribute meeting collateral, resolve real-time event logistics, and coordinate with FDA IT staff to troubleshoot virtual platforms for hybrid sessions.
  • Executive Administrative Support: Manage complex scheduling and calendar coordination for Office of Regulatory Affairs/OCQC senior leadership; prepare high-level briefing books, read-ahead packages, and official correspondence.
  • Compliance, Deliverables & Records Management: Submit bi-weekly and weekly performance deliverables to the COR, maintain Government Furnished Property (GFP) inventory logs, and maintain 100% compliance with FDA security agreements, non-disclosure requirements, and mandatory training.
Required Experience:
  • Minimum 5+ years of administrative, executive support, program support, office management, or comparable professional experience.
  • Demonstrated experience managing calendars, coordinating meetings, tracking deadlines and action items, and supporting multiple priorities with strong attention to detail.
  • Experience preparing and formatting professional correspondence, reports, briefing materials, agendas, minutes, trackers, schedules, and presentations.
  • Strong organizational and time-management skills, with the ability to anticipate needs, identify conflicts, follow through on commitments, and communicate issues promptly.
  • Excellent written and verbal communication skills and the ability to interact professionally with senior leaders, staff, external stakeholders, and partner organizations.
  • Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and other common office/collaboration tools.
  • Ability to handle sensitive or non-public information with discretion and maintain organized, accurate, and accessible records.
  • Ability to work independently within established procedures while seeking federal direction or approval when required.
Preferred Experience:
  • Prior administrative or executive support experience within FDA, HHS, another federal agency, or a federal contractor environment.
  • Experience coordinating domestic and/or international travel, travel authorizations, vouchers, or meeting/event logistics.
  • Familiarity with federal records management, information security, privacy, or document-handling requirements.
  • Experience supporting purchase requests, G-Invoicing actions, property transactions, or other routine federal administrative/procurement processes.
  • Experience supporting senior executives, international visitors, conferences, or engagements involving multiple internal and external stakeholders.
  • Experience working in a fast-paced environment requiring frequent schedule changes, competing priorities, and proactive follow-up.
Education & Training:
  • Bachelors degree in Business Administration, Office Administration, Management, or a related field, or an equivalent combination of education and relevant experience.
Work Authorization, Clearance Requirement, & Additional Information:
  • This position requires the ability to obtain and maintain a U.S. government Public Trust clearance. Due to contract requirements, candidates must be U.S. citizens or lawful permanent residents (green card holders) to be eligible.

Salary Range:
  • $60,000-$70,000
  • Salary commensurate with experience.
